Join our nimble and dedicated venue management team, who schedule event bookings and work with event organisers  to ensure the smooth operation of university venues and services to suit the incoming event. The Venue Management team processes almost 2000 space bookings each year. From a booking for a small meeting room through to hosting Graduation in our venues. The team is responsible for our venues being ready for these events.

About the Role

As a Venues and Events Officer, you will play a vital role in scheduling space bookings and handling the logistics that ensure a venue is an excellent host for an event. You’ll work closely with event organisers to interpret their needs, fit their event into a suitable venue and coordinate a range of university services to support their event. Your days will be varied and fast-paced, combining predominantly administrative duties, stakeholder communication, and some on site support to the event organiser.

This is a dynamic role where no two days are the same. You’ll spend time managing bookings through our dedicated system, coordinating with Infrastructure Facilities Services (IFS), and facilitating venue logistics to support the event organisers needs. Flexibility is key—there will be times when you’ll work outside of standard hours as venue supervisor, with time off in lieu provided.

This continuing position is full time at a HEW 5 Higher Education Level located at Callaghan Campus.

About the Unit  

NUServices is a wholly owned entity of the University of Newcastle. The entity manages and delivers food and beverage and retail services across campuses. NUServices is responsible for the delivery of on campus Food and Beverage operations, Venue Hire, Campus Activation, and University Merchandise; all of which are to support the strategic objectives of the University and meet the needs of students, staff and the University community.

  1. Strong administration skills with ability to work on multiple tasks and clients at once.  
  2. Experience in event operations across a broad range of events such as conferences, festivals, gala dinners, graduations
  3. Strong communication and interpersonal skills - stakeholder management, customer service and a team player.
  4. Demonstrated problem solving skills and ability to, respond to urgent issues, and be resourceful in finding solutions.
  5. Proficiency in Microsoft office software. Knowledge of organising, and retrieving data like Power bi, Excel, and ability to adopt various software applications.
