The Opportunity

Our Forrestdale branch has an exciting opportunity for an experienced and motivated Administrator to join the team in a Full-Time capacity.

Acting as an integral part of the Administration team, this role will have you providing end to end administrative support and will be best suited to a personable professional who enjoys a dynamic roll predominantly overseeing our Fleet and Assets. You will liaise with all Branches and Departments across the Western Region maintaining several databases in addition to other administrative tasks. Communicating issues and offering solutions to the Administration Manager.

Main responsibilities include:

  • Assist with the day-to-day management of our 150 vehicles and trailers.
  • Maintaining fleet databases, records and documents.
  • Ordering replacement and additional fleet, monitoring lease extensions and terminations, transfer and disposal.
  • Driver allocation and updates.
  • Vehicle monitoring system arrangements. Ordering, installs/removal/transfers and testing.
  • Ensuring policy and procedure is adhered to.
  • Assist with branch asset management.
  • Maintaining branch registers for Fixed/Physical Assets (Building, Land, F&F, IT/Comp, P&M) and Personnel Asset Allocations
  • Assist with Asset purchasing and monitoring of initial registration.
  • Ensuring policy and procedure is adhered to.
  • Undertaking QA internal assessments and assisting with branch audits (internal/external)
  • Accounts Payable Processing and Assistance with supplier account setup as required.
  • Reconciliation of databases and reporting as required.
  • Ad-hoc branch administrative duties as required.

To be successful you will need:

  • Demonstrated extensive experience in an administration role, (fleet and asset control desirable).
  • Dynamics 365 experience is preferred but not essential.
  • Good understanding / Knowledge of accounting concepts.
  • Demonstrated Intermediate to Advanced MS Office experience, including Word and Excel.
  • A positive attitude and the ability to take initiative and work as part of a small team.
  • Both a high attention to detail and accuracy is essential.
  • Excellent written and oral communication skills, organisation, multi-tasking and coordinating tasks with other groups both internal and external are required.
