The Role
QUT Student Guild is looking for an experienced, approachable Company Secretary to uphold best-practice governance, support our Board, and ensure the ongoing impact of our student-led not-for-profit organisation.
Working alongside a collaborative General Manager, you’ll support both the Student Guild Professional Staff (GPS) and the Student Representative Council (SRC), fostering a culture of teamwork and purpose within the organisation. You’ll be responsible for guiding our Board on governance, legal, and procedural matters, enabling the organisation to meet its strategic goals with transparency and precision. In this role you will facilitate efficient board operations, nurture clear and consistent communication, and closely partner with stakeholders to advance student rights, welfare, and advocacy.
This is a key role requiring a strong office presence, although Friday is a standard work-from-home day, with modern workplace flexibility applied across the organisation.
Your Core Responsibilities
- Organising board and committee meetings, preparing agendas, distributing materials, and documenting minutes with attention to detail and compliance within not for profit standards.
- Taking ownership of the Board calendar, quality and compliance
- Maintaining secure and organised records, including minutes, policies, and statutory documents.
- Supporting the development, review, interpretation and documentation of governance policies, ensuring alignment with the Guild’s mission and regulatory standards.
- Serving as a key liaison between the Board and Management, assisting board members with enquiries and coordinating governance events, workshops, and training.
- Preparing reports and board papers, contributing insights for strategic discussions, policy review and continuous improvement.
- Engaging with students, university administration, and external partners to advocate for the Guild’s mission and foster positive relationships for students benefit.
About You
You are an experienced governance professional with a warm, personable approach to working with diverse groups. Ideally, you’ll have experience within the not-for-profit or education sector and bring:
- Proven experience in governance or board support roles
- An interest in student wellbeing
- Strong secretarial skills and a willingness to harness technology to enhance efficiency
- Exceptional organisation, communication, and record-keeping skills
- Discretion and integrity when handling confidential information
- The ability to engage effectively with a diverse range of stakeholders and a commitment to inclusivity and student advocacy

- Efficiently facilitated board meetings with timely, meaningful documentation
- Maintaining a high standard of record-keeping and governance compliance
