What you’ll do:

We have a fantastic role become available in our workplace team, this role will focus on the duties shown below as well as reception / concierge duties located at our front of house desk so you must have experience in this to apply.

Key accountabilities (including, but not limited to);

  • Ensure compliance with all role-specific Safety, Health, Environment, and Quality (SHEQ) obligations.
  • Assist in maintaining a safe and functional agile working environment.
  • Support the Workplace Manager and team in various tasks.
  • Handle ad-hoc requests from the business and team members.
  • Assist with new starter packs, FSH (Field Services Hub) inductions, and staff lockers.
  • Coordinate both reactive and scheduled maintenance.
  • Liaise with cleaning contractors and manage meeting room equipment.
  • Collaborate with catering for a seamless Front of House (FoH) experience.
  • Field and forward inquiries, ensuring a world-class client experience.
  • Provide technical AV support and assist with internal and external events.
  • Handle procurement of stationery, office equipment, and consumables.
  • Manage finance-related tasks, including invoicing and cost recovery.
  • Action purchase orders and maintain registers.
  • Conduct regular tenancy audits for SHEQ compliance.
  • Coordinate repairs, services, and maintenance of tenanted areas and equipment.
  • Assist in managing security systems, electronic access, and alarms.
  • Handle staff and visitor security passes and liaise with building management.
  • Ensure adequate Wardens and First Aiders are appointed and trained.
  • Act as Fire Warden and respond to iSMS issues.
  • Maintain SHEQ signage and adhere to requirements.
  • Coordinate field supplies, motor vehicles, and storage space effectively.
  • Provide support for couriers, deliveries, and mail distribution.
  • Identify opportunities for improvement in services.
  • Adopt a proactive approach to duties, complementing WSP Guidelines.

About you:

  • Must have High school diploma (or equivalent)
  • Comfortable and confident with technology and able to learn processes and troubleshoot problems calmly and quickly.
  • Confident providing instruction and assistance to internal and external clients at all levels.
  • Able to remain calm, focused and effective under close scrutiny and in time critical situations.
  • Strong customer service focus with excellent communication and relationship-building skills
  • Polished and professional presentation.
  • Sound knowledge of MS Word, Excel and Outlook
  • Strong organisational and time management skills with the ability to juggle multiple priorities
  • A self-starter who can work independently, but also contribute proactively to a strong team environment.
  • Demonstrate adherence to confidentiality requirements and maintain a high level of ethical behaviour
  • Experience in a similar role, specifically looking after AV set up would be highly regarded.
  • Existing knowledge of video conferencing systems (i.e. Teams, Zoom etc) would also be highly regarded.
