About the opportunity:

We are looking for an experienced and skilled Programme Coordinator to join us in our Ponsonby based office on a 6-month fixed term contract.

You will be working closely with the Head of Delivery, Project Managers, IT project teams and IT squads on coordination, resource planning and progress tracking across a variety of programmes and projects.

As our organization continues to grow, the demand for effective program coordination has significantly increased. With several new projects slated to kick off this year, the Programme Coordinator will provide dedicated support for project planning, execution, and monitoring, enabling the team to maintain high standards of efficiency and deliverables.

You will play a critical role in balancing workloads, meeting project timelines, and ensuring that strategic objectives are successfully achieved in this dynamic and expanding environment.

Key responsibilities will include:

  • Working closely with the Head of Delivery and Project Managers, to set up and manage delivery and project management systems and processes for planning, tracking progress, and outcomes.
  • Developing templates and frameworks to ensure consistency and enable rapid project kick-offs.
  • Be an experienced admin in Jira, responsible for project setup, workflow configuration, user training, and providing data-driven insights to enhance project delivery.
  • Tracking and managing project costs and budgets in collaboration with finance and project managers.
  • Coordinating IT resource planning and allocation across squads, identifying and addressing capacity risks.
  • Supporting the development and maintenance of program-level plans, facilitating communications, and ensuring alignment across IT teams.
  • Monitoring program KPIs, preparing regular reports, and delivering insights on progress, risks, and achievements.
  • Driving initiatives by managing their delivery, ensuring alignment with organizational goals.

 

About you:

This role is ideal for a highly organized and self-managing professional with proven experience as a Programme Co-ordinator (or Senior Project Co-ordinator) in IT programmes and highly experienced as an admin in Jira. This a key system, and you will be the Jira advocate for the business. Previous experience in the education sector will be advantageous.

Required skills and experience:

  • 5+ years of experience in IT program or project coordination in an agile scrum environment, preferably in the education sector.
  • Certification in project management (such as PMI) and/or scrum.
  • Atlassian Jira certification and proven proficiency in Jira administration, including company-managed and team-managed Jira workflows, dashboards, and user training.
  • Proven experience in coordinating large-scale programmes with multiple stakeholders.
  • Strong stakeholder management and vendor management skills.
  • Experience with project management tools such as MS Project, Trello, or similar.
  • Strong knowledge of resource planning principles and tools.
  • Excellent verbal and written communication skills, capable of preparing detailed reports and presentations.
  • Problem-solving mindset with the ability to adapt quickly to dynamic environments and prioritize effectively.
  • Mature leadership and interpersonal skills, with the ability to foster collaboration across diverse teams.
  • Familiarity with New Zealand / Australia's educational system and regulatory requirements is highly desirable.
