Job Description

The Supply Chain Assistant will perform various administrative tasks to support the Subcontract Management team. The position will undertake a variety of activities in the office ranging from coordinating, filing, tracking deliverables, uploading information into systems, expediting internal stakeholders.


Duties/Accountabilities

Supporting document development:

•   Origination of document numbers and management of documents

•   Consolidation and checking of reference documents

•   Document formatting


Deliverable tracking:

•   Maintaining project management tools such as dashboards and schedules

•   Expediting deliverables


Other administrative tasks:

•   Expedite deliverables to ensure on time receipt of deliverables

•   Maintain various registers and as per project specific instructions

•   Ensure deliverables and inputs from all stakeholders

•   Other duties as needed


Position Specifications

•   Experience in a project environment on capital projects

•   Extensive administrative skill and experience in tracking milestones, deliverables, issues and action items

•   Strong customer service and diplomacy skills

•   Demonstrated ability to multi-task, prioritize work and to problem solve in an inclusive manner with internal colleagues and external parties

•   Excellent oral and written communication and presentation skills

•   Excellent organizational administrative ability

•   Microsoft Office suite (Word/Excel/PowerPoint) particularly:

•   Advanced Excel (vlookup, pivot table formulas, graphical data representation, and dashboards)

•   Intermediate Word (Formatting and templates)

•   Ability to work effectively with limited direction and function as a key team member

•   Ability to fit into a team environment and personal skills to compliment teamwork development

•   Knowledge and experience with materials management, expediting, quality surveillance and logistics


Education and Experience

•   A minimum of 2 years’ experience in a project environment, preferably in the shipbuilding industry

•   Ship building experience is an asset

•   Project coordinator experience is an asset

•   An understanding of project scheduling (MS Projects/P6) is an asset.
