About the Role
This position is responsible for being the personal assistant support to the CEO and executive assistant support to the Executive Team.
This position will work closely with the Company Secretary role for the purpose of covering annual leave, role development and diversification.
This is a permanent position that is available on a full time basis. The successful candidate will be working week days between Monday and Friday between the hours of 8am and 5pm.
The role will entail the below duties:
- Ensuring smooth functioning of the CEO and Executive’s office and support their day-to-day activities and manage multiple tasks and priorities simultaneously.
- Diary and calendar management for the CEO.
- Organising all Executive and Senior Leadership related meetings and ensure necessary papers are sent out in time and requirements for the meetings are attended to, including On-Call.
- Assisting with organisation-wide events/meetings, including RSVP’s and practical set up as required and directed by the CEO.
- Taking minutes for meetings as determined by the CEO.
- Performing bookkeeping tasks such as credit card reconciliation and invoice approvals, whilst adhering to the delegation of authority.
- Managing correspondence and prepare letters as directed by the CEO.
- Update various email distribution lists for the Executive or Senior Leadership groups.
- Organising travel arrangements for all staff such as flights, car hire, and accommodation and ensure that appropriate approvals are obtained.
- Managing accounts for Zoom, Convene, and or other organisation-wide programs as directed by the CEO/Executive team.
Required compliance documents:
- Current drivers’ license.
- National Police Clearance Certificate within the last 12 months.
What we’re looking for
As well as the above documentation, we will be looking for:
- Demonstrated capability to manage multiple calendars and service simultaneous requests from an Executive Team.
- Excellent customer service skills including interpersonal, written and verbal communication.
- Experience in leading and managing a team and working collaboratively with others.
- Advanced computer skills, particularly in the Microsoft Office Suite.
- Well-developed organisational skills including the ability to manage time effectively, prioritise workload, meet deadlines and work autonomously.
The following skills are considered desirable:
- Willingness and ability to work within and contribute to the vision, mission, core values and the three guiding principles of the organisation.
- Experience working within a community services organisation, including interactions with clients and community members who may be affected by family and domestic violence.
- Knowledge and understanding of diversity, gender and social inclusion, particularly Aboriginal culture.
- Completion of high school or TAFE Certificate III in Business Administration and/or experience as a business administrator.
