We’re looking for an Employee Experience Coordinator to join our People & Culture team at RMIT Online! This isn’t a senior HR role, and it’s definitely not a recruiting gig. What we need is someone who thrives on being proactive, solving problems, and making sure everything runs smoothly.

You’ve worn all the hats – HR coordinator, PA, office manager, event planner – and you know how to juggle tasks like a Cirque du Soleil performer. You’ve got incredible attention to detail – you spot typos and grammatical errors, make the most eye-catching PowerPoint preso's, ensure onboarding plans are flawless and impactful, and notice when the office snacks are running low (priorities, right?).

About the Role

As our Employee Experience Coordinator, you’ll be the go-to person for keeping things running smoothly behind the scenes at RMIT Online. From supporting our People & Culture team to helping the CEO and making the office a great place to be, this role is all about organisation, coordination, and making sure everything works like clockwork.

On the HR side, you’ll handle things like keeping our systems up to date (Workday and Culture Amp, we’re looking at you), booking feedback and learning sessions, and making sure our Confluence documentation is in tip-top shape. You’ll also manage onboarding new employees and keeping them engaged—because first impressions matter, and you’re the one who makes them great!

You’ll also assist with admin tasks for the CEO and the People & Culture team, like managing diaries, coordinating meetings, and keeping communication flowing smoothly. Some days, you might even need to pop into the office outside of the usual Tuesday/Thursday routine—but don’t worry, we won’t overdo it.

And let’s not forget the office itself! You’ll be our logistics guru, making sure the space is stocked, organised, and ready for action. From arranging property services to keeping the snack cupboard full and handling mail or couriers, you’ll take care of all those little things that make a big difference. Oh, and your eye for workplace safety will help us stay on top of first aid supplies, emergency training, and health essentials.

One of your shining moments will be owning our company-wide events: fortnightly Showcase, monthly All Hands, and the big kahuna, the Quarterly Connection Sprint. These gatherings are all about bringing the entire business together to share updates, celebrate wins, and collaborate. Your job? Make them exciting, and impactful, and ensure they run like clockwork. Whether it’s nailing the timing, creating a vibe, or collaborating with IT to ensure the AV equipment doesn’t have an existential crisis mid-presentation, you’ll make these events something everyone looks forward to.

A Typical Week in This Role

Your week will be a mix of keeping RMIT Online humming like a well-tuned machine:

  • Updating HR systems, organising onboarding activities, and running feedback sessions that make everyone feel like a superstar.
  • Supporting the CEO and People & Culture team with diary management, meeting coordination, and admin tasks.
  • Coordinating the annual 360 feedback process or assisting the People & Culture Manager with engagement surveys.
  • Supporting the Talent Acquisition Manager with interview scheduling or raising contracts in Workday for new hires.
  • Researching, planning and running our epic company-wide events (Showcase, All Hands, and Connection Sprint), ensuring they’re impactful, exciting, and glitch-free.
  • Handling office logistics—restocking the biscuit tin, liaising with property services, and making sure we’re ready for any workplace emergencies.
  • Welcoming new employees and ensuring they settle in with everything they need (and a few laughs along the way).

Our Hybrid Work Vibe

Due to the collaborative nature of this role, you’ll be in the office on Tuesdays and Thursdays. Outside of these days, you’re free to work wherever brings out your best! Your first week of onboarding will be spent in the Melbourne CBD office, and after that, it’s all about flexibility.

We often gather together for company-wide Showcases and All-Hands meetings, complete with snacks, drinks, and plenty of fun! Plus, we attend quarterly Connection Sprints—think two days of team building, collaboration, and energy. You will be heavily involved in organsiing and coordinating these events.
