About us 

Queensland Hydro is a publicly owned entity established by the Queensland Government to design, deliver, operate and maintain long duration pumped hydro energy storage assets that will be the cornerstone for the transformation of the state’s energy system. 

The organisation will drive delivery of world-class pumped hydro assets to provide the long-term storage and reliability needed to power Queensland’s clean energy future. The organisation will play a critical role in assisting the Queensland Government to meet its renewable energy targets and net zero emissions by 2050, supporting the shift in the Australian economy to a decarbonised energy system. 

Purpose 

The Corporate Document Controller is an integral part of the organisation, responsible for managing, distributing, controlling, and storing corporate documents. This role ensures all documents are processed, recorded, and maintained accurately and in compliance with organisational policies and standards.

Key Accountabilities  

The key accountabilities are to: 

  • Implement and maintain document control procedures and tools for the collection, distribution, and filing of controlled documents. 
  • Setup the workflows and embed the document practices to align to the corporate requirements within Content Manager, SharePoint and InEight (TeamBinder) 
  • Ensure the accurate processing and recording of documents within the InEight document control system and Content Manager recordkeeping system. 
  • Oversee the lifecycle of corporate documents, including creation, review, approval, distribution, and archiving. Ensure all documents are managed in accordance with organisational and regulatory standards, including the Queensland Public Records Act. 
  • Generate regular reports on document control activities, including document status, compliance metrics, and system performance. Monitor document control workflows and resolve issues as they arise. 
  • Ensure that both electronic and physical records are accurately maintained, protected, and readily accessible when needed. 
  • Provide training and support to Queensland Hydro team members and to the contracting partners on document control systems and procedures. 
  • Conduct QA/QC audits of document control files to ensure compliance with InEight and Content Manager protocols. 

About you

Position Requirements  

  • Previous experience as a Document Controller in a large-scale, evolving project environment, with specific experience in managing document control systems like InEight and Content Manager  
  • Proven experience in managing multiple stakeholders (Engineers, Consultants, and subcontractors) through the full project lifecycle. 
  • A minimum of six years of Document Control experience in supervising, establishing, reviewing and maintaining document control systems. Experience in an engineering and construction project is preferred 
  • Demonstrated experience and practical understanding of Queensland Government information and Records Management standards and legislation. 
  • Ability to improve document control practices and system engagement and resolve document control issues. 
  • Proficiency with Microsoft Office Suite, Adobe Acrobat, InEight, and familiarity with Content Manager or similar recordkeeping systems. 
  • Excellent communication skills, with the ability to train and hold stakeholders accountable for compliance with evolving document management systems, procedures, and requirements of Content Manager and SharePoint.  
  • Familiarity with Compliance Standards - Knowledge or certifications related to ISO 15489 (Information and Documentation – Records Management) standards or other relevant compliance standards is also beneficial, especially in industries with stringent regulatory requirements. 
  • Training in Specific Systems - Certification or formal training in InEight (Teambinder) and Content Manager systems would be highly advantageous, demonstrating proficiency in the software tools used within the role.
