Your Role

We are seeking a highly organised and proactive Business Support Coordinator to join our team. This key role will support multiple General Managers (GMs) by managing their diaries, coordinating travel arrangements, and providing general administrative assistance. The ideal candidate will possess excellent time management skills, the ability to multitask effectively, and a high level of attention to detail.

What you’ll be doing

This role offers a diverse range of responsibilities where no two days are the same. You will be entrusted with a variety of tasks, including but not limited to:

  • Proactively manage and organise the diaries of multiple GMs, scheduling meetings, appointments, and events while ensuring they are well-prepared for upcoming engagements
  • Coordinate meeting logistics, ensuring appropriate time slots are booked, and relevant stakeholders are included
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and itinerary management
  • Ensure travel arrangements are well-planned and cost-effective while meeting the needs of the GMs
  • Assist with the preparation of reports, presentations, and other business documents as required by the GMs
  • Serve as a point of contact for internal and external stakeholders, managing communications effectively and professionally
  • Support the organisation and logistics of meetings, conferences, and events, ensuring all necessary materials and equipment are available
  • Assist with catering arrangements, venue bookings, and other event requirements
  • Provide general business support, including managing expenses, filing, and other tasks as required by the team

What you'll bring to the table

  • Proven experience in an administrative or business support role, ideally supporting senior-level executives or GMs
  • Excellent diary management and organisational skills with the ability to prioritise tasks effectively
  • Strong attention to detail and accuracy, especially when managing travel arrangements and schedules
  • Ability to handle multiple tasks at once and work well under pressure
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced skills in calendar management and travel booking tools
  • Exceptional communication skills, both written and verbal
  • A proactive approach to problem-solving and the ability to work independently
  • Discretion and confidentiality when handling sensitive information
