The Event Operations Field Coordinator “FC” works within the Event Support Team processing event requests through the work order management system and overseeing setup in the field. The FC provides on-site coordination for events by checking for set-up accuracy, problem solving for necessary adjustments, and being present as an event logistics resource for clients and vendors. Additionally, ensures that all event set-ups meet state and University fire-safety regulations.

Job Description:

  • Process event requests through the work order management system.
  • Oversee and coordinate the preparation and implementation of operational support for university events.
  • Make sure that all event requests from the University community, that require internal or external vendor support, are accurate and in accordance with customer requests and with University policy.
  • Schedule deliveries/pickups so that they do not interfere with other events in the space.
  • Allot appropriate time for event set-up and breakdown to coordinate with other activity in the same space or nearby.
  • Generate work orders for FM trades as required.
  • Input billing information into each project to streamline the billing process.
  • Check on events to confirm they are running smoothly.
  • Communicate with multiple departments.

Competencies:

  • Events execution.
  • Knowledge of conference facilities, tech and equipment.
  • Computer proficiency/Google Suite.
  • Resourceful and organized.
  • Highly effective time management and communication skills.
  • High level of customer service skills.

Academic Level:

  • Bachelor’s degree and 1-2 years’ experience; Associate degree and 3 years’ experience; or equivalent combination of education and experience.

Additional Details:

  • 50/50 split between processing requests and in the field on campus.
  • Work from home - 1-day per week
  • On the street parking
  • Must be able to walk around campus; able to lift up to 50 lbs.
