ADP (a Lycopodium business) seeks suitably qualified, experienced and driven Senior Document Controller to manage various aspects of document control, including the receipt, storage, retrieval and circulation of documents, review coordination, external submission and distribution control.
The tasks you’ll perform
- Ensure the accurate uploading, logging, filing and distribution of project related documentation.
- Monitor and control project documentation transmission, from preparation to archive in accordance with Company, Client and regulatory standards.
- Manage and expedite supplier deliverables and documentation, ensuring contractual requirements are adhered to.
- Work collaboratively within the project and document control team.
- Control, coordinate and distribute all project documentation and data in a timely and efficient manner to meet project demands, requirements and schedules.
- Expedite overdue issued project documents and deliverables within agreed timelines including liaising with Clients, internal and external customers and suppliers where required.
- Maintain quality control over all design deliverables and technical documents to both Company and ISO standards.
- Register and file all relevant project documentation in accordance with the Company approved procedures, including archiving, scanning, filing or photocopying if required.
- Check, validate and verify all documentation, to ensure correct numbering, revisions, status, formats, titles and legibility.
- Operate and maintain document and data management systems and processes for the projects.
- Proactively support other team members as required to ensure Project deliverables are met.
- Provide general office administrative support as and when required.
The expertise you’ll bring
- Relevant Tertiary qualification
- At least 3 years’ proven experience in document control.
- Proven experience in an EPCM environment.
- South African Citizen or Permanent Resident.
- Cape Town based.
- Solid technical aptitude, analytical and problem-solving skills
- Ability to work effectively with minimal supervision whilst consistently producing a high quality of deliverables, within budget and schedule constraints.
- Demonstrate proficiency with the Microsoft suite of software packages, including Word, Excel, and Power Point
- Demonstrated proficiency in the sue of specific, relevant proprietary software packages (DRPro, SAP)
- Proven ability to build and maintain positive relationships with all stakeholders, including clients, contractors, vendors and co-workers.
- Solid knowledge of the requirements and processes of data and/or documents
- Well-developed written and verbal communication skills, specifically in English
- Proven ability to produce accurate and professional complex, technical documentation.
- Proven ability to produce sound finance, project and technical reports.
- Demonstrate the ability to work efficiently in a team and knowledge sharing environment.
- Demonstrate good interpersonal skills and a practical approach to problem-solving.
- Self-motivated with excellent organisational and prioritisation skills, with the ability to manage multiple and varied tasks while ensuring attention to detail.
