IntoWork Australia are seeking an individual for an exciting and challenging Executive Assistant position supporting the IntoJobs Chief Executive Officer and leadership team. The ideal candidate should be capable of handling a dynamic and challenging environment while maintaining a high level of professionalism and confidentiality.

As an Executive Assistant, you will:
The Executive Assistant provides executive level support to the IntoJobs CEO and leadership team. This role also coordinates the Queensland Office and supervises a full-time Business Administration Trainee in Milton, Brisbane.
The role requires exceptional coordination skills, a second to none attention to detail and advanced MS Suite skills. Calm in pressure situations, the Executive Assistant will also be competent at juggling many tasks at once and be able to build a good rapport with those around them.
The duties of this role will include but not be limited to the following:
- General administration support at a senior level
- Coordinate Monthly Board and Operational reporting.
- Travel coordination and expense reconciliation
- Meeting preparation (i.e. prepare papers, communication and minutes)
- Organise diary and calendar appointments.
- Coordinating events
- Coordinate Special Projects
- Creating presentations
- Support SharePoint internal staff communication and resources
- Compiling market research information
About you:
You will play a pivotal role in managing the IntoJobs CEO schedule, facilitating effective communication, and ensuring the smooth operation of executive functions. This role demands a proactive individual with exceptional organisational skills, confidentiality, and the ability to handle a wide range of tasks with precision. We’re looking for someone who is innovative, insightful, results oriented and passionate about what they do.
Skills/Experience
- Demonstrated experience in a similar role supporting senior executives or officials (essential)
- Proven experience supporting a Senior executive
- Experience in the Education, Training or Employment sectors (advantageous)
- High level administrative and office management skills including supervising Business Administration Trainee
- Ability to work collaboratively and positively in a team environment
- Strong verbal communication skills and ability to build positive rapport quickly with all internal and external stakeholders
- Excellent written communication and ability to draft professional correspondence
- Excellent attention to detail
- Strong data analysis and reporting abilities
- Strong time management & organisational skills and ability to prioritise effectively
- Ability to work effectively without supervision, as well as part of a team
- Well developed decision-making skills
- High level of initiative and sound judgment
- Ability to identify procedural issues and determine options for resolution (well-developed problem solving skills)
- Openness to seek and embrace change
- Strong resilience, and the ability to negotiate and gain cooperation
- Demonstrated ability to handle confidential material responsibly
- Excellent computer skills including Microsoft Office 365 suite & data input/output databases
