The Senior Advice Support Officer (SASO) provides crucial administrative support to the Advice team, handling initial member inquiries, qualifying and triaging advice needs, setting appointments, and overseeing pre- and post-advice actions. This includes preparing and implementing advice documents and completing other administrative tasks to ensure the efficient delivery of financial advice. The SASO ensures high standards of service by focusing on timeliness, quality assurance, and efficiency.
Additionally, the SASO assists the Advice Support Manager in leading the advice support team, managing day-to-day tasks, and driving continuous process improvements. They work closely with internal departments to reduce risks and develop operational strategies that enhance member experiences and outcomes. The SASO plays a key role in maintaining the smooth operation of the advice administration process and supporting the overall goals of Hostplus.
The opportunity
As a Senior Advice Support Officer at Hostplus, you will play a crucial role in ensuring the efficient delivery of financial advice services to our members. Working closely with the Financial Planning and Advice teams, you will assess and triage members' advice needs, ensuring timely, accurate, and compliant implementation of all client advice. You will be the principal first point of contact for members seeking personal advice, guiding them through the pre-advice process, scheduling appointments, and maintaining comprehensive client records.
In addition to member interaction, you will support the Advice Support Manager by ensuring fair work allocation across the team and managing ad hoc projects to enhance business processes and service delivery. You will stay updated on compliance and regulatory changes, identifying and introducing improvements to client and administration processes. Your role will also involve overseeing the implementation cycle, from pre-implementation to post-implementation, ensuring high-level customer service and accurate record-keeping in Xplan and CRM systems.
Your responsibilities will extend to providing high-level customer service to both clients and financial planners, assisting with CRM and XPLAN administration tasks, and acting as the first point of contact for training and proficiency in these systems. You will participate in weekly work-in-progress meetings and contribute to company-wide projects and initiatives, helping to drive Hostplus forward and ensuring superior member experiences and outcomes.
About you
- Experience in an administrative role within a financial planning practice (general advice authorization preferred).
- Practical understanding of the financial planning advice process.
- Strong interpersonal and communication skills.
- Well-organized with the ability to prioritize tasks and work autonomously.
- Attention to detail and ability to meet deadlines.
- Ability to liaise with all business levels and external stakeholders.
- Team player with a commitment to high-quality customer service.
- Knowledge of financial planning software (XPLAN preferred) and corporate financial services.
- Proficient in MS Word, Outlook, PowerPoint, and Excel.
- RG146 qualification or studying towards/completed a financial services, financial planning, or related qualification.
