The role

We are looking for an experienced Legal Executive Assistant who will play a pivotal role in supporting our Head of Litigation/Co-Head of Sydney Office and the broader litigation practice group, fostering a trusted partnership built on discretion and professionalism.

It is ideal for someone who is dependable, highly organised, and proactive, with a positive attitude and a drive to make meaningful contributions.

This full-time position in our Sydney office will allow you to utilise your superior interpersonal and communication skills, excellent administration and organisational abilities, and play an integral part in our growth and overall success.

Key Responsibilities

  • Manage complex calendars and email correspondence, scheduling internal and external meetings and coordinating travel arrangements.
  • Prepare agendas, draft documents and communications, sharing thoughtful suggestions to enhance processes and managing tasks, always checking with the Head of Litigation before implementing solutions.
  • Schedule and organise strategic meetings related to committees such as the Risk Committee, Sydney office, Executive Committee, Litigation group, and National Litigation team, and preparation of meeting minutes and follow-up actions.
  • Accurately maintain client and matter records and databases.
  • Create and deliver reports by analysing data, highlighting key insights, and identifying potential concerns to support informed decision-making.
  • Provide comprehensive billing and expense support, overseeing financial matters and managing administrative tasks to maintain the smooth management of the practice groups.
  • Take ownership of administrative duties, such as photocopying, scanning, and printing, transcription of dictation and contribute to a collaborative team environment where everyone works together to achieve goals.

We’re looking for someone:

  • With 3+ years’ experience within an Executive Assistant or Operations position, ideally within a professional services environment.
  • With Intermediate to advanced Microsoft Office Suite skills.
  • Who thrives in a team environment, is approachable and values collaboration.
  • Who is organised, detail-oriented, and skilled at managing multiple priorities.
  • Who communicates effectively and approaches tasks with a positive, proactive attitude.
  • Who is self-motivated, independent, and forward-thinking in their approach.

  • Who is an Australian Citizen or permanent resident.
