The Role:
Reporting to our Co-CEOs, you will be at the heart of our operations, supporting the leadership team and ensuring their day to day activities run smoothly. This is a dynamic role where you’ll manage both high-level tasks and practical office needs, allowing the Co-CEOs to focus on driving the company forward. You’ll also collaborate with key internal stakeholders to help improve systems and processes to optimize productivity.
You will be based in our office (hybrid option also available), but you will have the opportunity to manage various aspects of the executive function, from scheduling meetings to supporting with travel arrangements. Your proactive mindset and attention to detail will ensure that the office is always running efficiently.
Your day-to-day might look like:
- Manage schedules for the Co-CEOs, coordinate meetings, prioritize calendar events, and assist with all logistical aspects of their day.
- Organize domestic and international travel, including flights, accommodation, itineraries, and meeting arrangements. Assist with organizing executive events, conferences, and corporate meetings.
- Set up and prepare meeting rooms, ensure all logistics are handled seamlessly, and ensure the executives are always prepared with necessary materials. Liaise with internal and external stakeholders to facilitate clear communication.
- Oversee the planning, coordination, and execution of corporate events, including client-facing events, employee celebrations, company-wide meetings, and conferences. Manage event logistics such as venue selection, catering, guest lists, invitations, and any special requirements.
- Take on special projects and support the Co-CEOs with any urgent or important tasks as needed, including preparing reports, presentations, or research.
About you:
You are an experienced Executive Assistant or Personal Assistant who thrives in a fast-paced environment. You have a proactive mindset and are adept at anticipating needs, solving problems, and keeping things organized. You are a trusted point of contact, able to balance professionalism with a friendly, approachable demeanour for internal and external stakeholders.
You’re familiar with the high-level demands of supporting senior executives and possess a meticulous attention to detail. You are tech-savvy, well-organised, and a strong communicator who enjoys making the work environment run smoothly.
