About the Role

The Office Coordinator ensures efficient office operations by managing administrative tasks, coordinating events, and supporting staff and vendors, fostering a productive and engaging workplace.

We are open to consider candidates looking for either a full time permanent or a permanent part-time (4 days a week) model. This is an office-based role, in Brisbane city.

Your key accountabilities will include:

  • Coordinate facilities management services, logistics and deliveries across all Australian locations.
  • Manage relationships with vendors, service providers, and landlords, including the corporate travel agent.
  • Organise office operations, control correspondences, design filing systems, review supply requisitions, and monitor clerical functions.
  • Ensure office maintenance is performed by authorised contractors.
  • Coordinate staff events including workshops, meetings and other Company-directed events across all Australian locations including ordering catering and beverages (including alcohol), setting up and packing down (including the Brisbane office annual staff event in July in Blenheim, QLD), sourcing entertainment, booking venues etc.
  • Process invoices and requisitions as needed.
  • Oversee work health and safety activities according to company policies.
  • Assist with staff onboarding and offboarding processes.
  • Perform ad hoc duties as required.

About You

We are seeking an enthusiastic individual who excels in administrative support and problem solving. The ideal candidate will have strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently while maintaining a high level of accuracy and professionalism.

To be successful, you will need:

  • Ability to engage and collaborate with all staff across the business and externally with suppliers.
  • Excellent written and verbal communication skills.
  • Ability to manage and adapt to changing priorities, and problem-solving skills.
  • Solid administrative experience with meticulous attention to detail.
  • Demonstrated initiative and commitment to exceptional client service.
  • Proficiency in Microsoft Office suite.
  • Flexibility to work outside standard hours on occasion and ability to travel nationally when needed. 
  • You must hold full time permanent working rights in Australia.
  • Attitude and behaviour aligned with Esri Australia’s core values.

Please note you will be required to provide a current and satisfactory AFP National Police Check certificate prior to commencing employment.
