About the Role:

We are seeking a meticulous and proactive Contract Conformance Specialist (CCS) to join our team. The CCS is responsible for sourcing and administering contractual arrangements for capital and maintenance projects. This role involves managing documentation and communication to ensure that contractual obligations are met, facilitating the timely identification, communication, and resolution of contractual matters. The CCS will interact with third parties and various in-house departments, including legal, project management, construction management, and more. The CCS reports directly to the Supply Chain Management (SCM) Construction & Sourcing Administration (CS&A) Team Lead or Supervisor.

Key Responsibilities:

  • Understand and comply with Project Execution contracting strategy.
  • Facilitate preparation of purchase orders, work releases, and contract exhibits, including scope of work, specifications, and pricing.
  • Assist in drafting technical contract language for each assigned project.
  • Ensure project-specific functional requirements and contractor clarifications are incorporated into final contract documents.
  • Support project management in contractor negotiations during contract bidding and formation phases.
  • Coordinate with the project team to develop a project-specific communication plan.
  • Participate in and assist with training on contract administration for team and third-party personnel.
  • Review contractor documents for compliance and notify of non-compliance.
  • Maintain contractor correspondence and documentation logs.
  • Manage change order processes, including logs, directives, and approved changes.
  • Prepare and distribute meeting agendas and notes for contract-related meetings.
  • Establish and implement a project contract document control and retention system.
  • Review contractor invoices for compliance with contractual requirements.
  • Coordinate with project team and legal to resolve contractual issues.
  • Close out project contract files and submit them for retention.
  • Prepare for and assist during company and external compliance audits.
  • Communicate ongoing project contractual requirements and issues with the SC&A team lead or supervisor.

Dimensions:

  • Manage projects or programs with a consolidated total of up to $400MM per year.
  • Handle projects or programs with durations between 1 and 6 years, including those of elevated complexity.

Basic/Minimum Qualifications:

  • Bachelor's degree in engineering, construction, legal, technical, or business discipline with a minimum of 4 years of experience in legal, engineering, construction, and/or contract administration of construction-related projects, preferably in the energy industry; or
  • Associate's degree with a minimum of 7-10 years of experience in the same fields.
  • Specific knowledge and experience in contracting processes related to energy industry construction projects.
  • Fundamental understanding of contract documents' intent, context, purpose, and utilization.

Desired Qualifications:

  • Excellent communication skills, both written and verbal.
  • Strong human relations, influence, and listening skills.
  • Ability to develop collaborative working relationships across departments.
  • Familiarity with best management practices for contracting.
  • Ability to negotiate complex contracting issues.
  • Strong organizational and technical writing skills.
  • Proficiency in Microsoft Office, Microsoft Teams, SharePoint, and Oracle.
  • Ability to prioritize work effectively and solve problems proactively.

Work Conditions:

  • Primary location will be a company office within the assigned project.
  • Minimal travel may be required.
