We are looking for an Administrator who's passionate about data reporting to join the team at Eleven. This ideal candidate will be responsible for providing essential administrative and operational support to the agency, ensuring smooth day-to-day operations and contributing to the overall success of the business. In this hybrid role, you’ll regularly monitor media performances and distribute reports for the agency and clients. This role requires a strong organisational ability, attention to detail, and excellent communication skills. 


THE TASK AT HAND 

The Administrator/Data Reporter is responsible for: 

  • Account administration 
  • Attending team WIP meetings to take detailed and accurate actions 
  • Inputting actions into a workflow tool e.g. Monday 
  • Scheduling meetings 


  • Media intelligence 
  • Maintenance and regular updates to media list 


  • Media monitoring & reporting 
  • Coverage sweeps and media monitoring 
  • Analysing coverage results (quantitative and qualitative metrics) 
  • Maintaining coverage tracker (inputting coverage data into spreadsheet) 
  • Creating daily, weekly, monthly PR reports 


  • Financial processes 
  • Pulling timesheet data to create timesheet reports 
  • Tracking expenses 
  • Inputting data from approved Pricing Toolkits into D365 to create estimates 


  • Travel & logistics 
  • Booking flights, accommodation, transfers for team, talent and client trips 
  • Itinerary management 
  • Liaises with suppliers, such as venues, photographers, printers with support from managers 


  • Contracting 
  • Support drafting Talent Pay contracts 

 

WHAT YOU’LL BRING TO ELEVEN 

Skills  

  • Demonstrates excellence in using the following tools: 
  • MS Office (Word, PowerPoint, Excel, Outlook) 
  • GoogleDrive (GoogleDocs / GoogleSheets / GoogleSlides) 
  • Project Mangement tools e.g. Monday / Work Front 
  • D365 
  • Demonstrates proficiency in using PR and media tools such as Klear, Telum, SourceBottle, Meltwater, Creator IQ etc. (desirable) 
  • Demonstrates effective time management, including timesheet completion each week 
  • Demonstrates working to Eleven standards, paying attention to detail with no careless errors 
  • Completes tasks on deadline and works with supervisors should timings need to change or shift out 
  • Demonstrates sound communication skills 

 

You  

  • Proven experience as an administrative assistant or in a similar role.  
  • Strong organisational and time management skills.  
  • Excellent communication and interpersonal skills.  
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).  
  • Attention to detail and accuracy.  
  • Ability to work independently and as part of a team.  
  • Experience in the advertising industry is preferred but not required. 
  • Deep knowledge of Australian media landscape
