EMV are seeking an Executive Assistant to commence ASAP until 8 October 2024
What will the role do?
The Executive Assistant will work across two directorates (Strategy and Capability & Operations) to provide support to the Deputy Commissioner and Executive Director.
- Provide the Executive Director, Deputy Commissioner, and business units with high level, confidential secretarial and administrative support, including email and diary management.
- Manage and lead appropriate processes and systems to ensure key priorities and deliverables are met, including tracking of briefs and correspondence, particularly to support the relevant approval processes.
- Assist the business units with arranging meetings and functions, organising meeting and recruitment documents and preparing packs for committee groups
- Provide office support including purchasing office equipment and supplies, processing financial transactions, and other duties as required.
- Work collaboratively and maintain strong relationships with the Executive Office, Office of the Deputy Secretary, Office of the Secretary, executive officers and other staff across the department and with relevant stakeholders.
- Work flexibly across the group, performing other tasks and contributing to other projects as required.
What skills and knowledge should the EA have?
As our ideal candidate, you will have:
- Demonstrated experience in office management and executive support to senior executives within a highly sensitive and complex environment.
- Demonstrated ability to analyse issues and determine priorities in an environment of tight and conflicting deadlines, to take initiative and work under limited direction.
- Skill and experience using Office 365 suit and TRIM, the department's electronic document management system.
- Experience using the DJCS Electronic Briefing & Correspondence system, or an equivalent electronic briefing platform, is highly desirable.
- Relevant qualifications and/or experience supporting executive staff in a busy business administrative environment.
