Property Manager

Reports to: Managing Director

Role Overview:

We are seeking a proactive and highly organised Property Manager to oversee the day-to-day operations of our commercial properties. This combined role will encompass property and facilities management, focusing on lease management, tenant relations, and ensuring the effective maintenance of plant and equipment. The ideal candidate will have experience managing both property and facilities, with a strong background in leasing, repairs, and maintenance coordination. They will also be comfortable liaising with landlords and contractors, ensuring both compliance and operational efficiency across all aspects of property management.

Key Responsibilities:

Lease Management:

  • Oversee lease renewals, including options and market reviews.
  • Maintain records and manage Franchise Agreement execution and database.
  • Manage Franchise Renewal options and related reporting.
  • Approve rent (monthly) and ensure accurate tracking.
  • Conduct percentage rent calculations (annually).
  • Review outgoings statements and utility consumption.
  • Prepare and review turnover statements (annually).
  • Administer insurance Certificates of Currency (COC) on an annual basis.
  • Monitor and manage bank guarantees.

Facilities Management:

  • Implement and manage preventative maintenance schedules to ensure compliance.
  • Coordinate reactive maintenance requests and ensure timely resolution.
  • Onboard contractors and liaise with Centre Facilities Management (FM) teams.
  • Create and enter purchase orders for approval, ensuring budgetary alignment.
  • Verify contractor work to ensure standards and quality are met.
  • Oversee spare parts replenishment to ensure continuity of operations.

Franchise Administration:

  • Ensure accurate Franchise Agreement execution and database management.
  • Oversee Franchise Renewal options and maintain associated reporting.
  • Approve monthly rent payments and track relevant details.
  • Handle sales reporting and monitor performance metrics.

Critical Requirements:

  • Proven experience in property and facilities management, ideally in a commercial or retail environment.
  • Strong understanding of lease agreements, rental calculations, and financial reporting.
  • Experience with managing contractors and facilities compliance.
  • Solid knowledge of health, safety, and regulatory compliance within commercial property management.
  • Ability to manage both proactive (preventative) and reactive maintenance schedules.
  • Strong organisational and time management skills with the ability to prioritise tasks.
  • Excellent communication and interpersonal skills for liaising with landlords, tenants, and contractors.
  • High level of proficiency with Microsoft Office applications and facilities/property management tools.
