Our Branch

The Commercial Services & Business Improvement (CSBI) Branch's purpose is to drive improvement, agility, and resilience, by providing support to City Standards (CS) and more broadly across Brisbane Infrastructure (BI), making it easier and safer to deliver outcomes for the community.

Commercial Services & Business Improvement consists of five core teams - Safety, Environmental Management, Business Improvement, Contract and Risk Management and Learning and Development.

The Role

Reporting to the General Manager of the CSBI Branch, this role is critical and provides a wide range of high quality, customer focused and efficient administrative, secretarial and support services to assist the effective operations of the work area.

This role supports the General Manager and members of the team to achieve their business objectives as well as engaging with branch stakeholders and customers to ensure the professionalism and excellence of the branch is optimised.

You will provide the General Manager, CSBI with a broad range of proactive administrative and business support expertise and advice including:  

  • facilitating and prioritising workflow to and from the General Manager’s Office, including reporting on progress, managing competing priorities and deadlines, and developing and maintaining appropriate administrative support systems 
  • maintaining the General Manager’s diary, filing systems, documents, and correspondence, including arranging and coordinating papers for committees, working groups and general meetings. 
  • prepare meeting agendas, taking minutes, and creating and evaluating reports 
  • as they arrive  
  • evaluating and preparing responses to incoming memoranda, phone calls and correspondence and providing additional support to other team members and leaders, particularly during peak work periods. 

To be successful you will have:

  • ability to provide a wide range of high quality administrative and business support services
  • well-developed communication skills, both written and oral, together with sound interpersonal skills
  • high-level organisational and time management skills with the ability to manage complex and competing priorities
  • problem solving and analytical skills including the ability to recognise trends in data and opportunities for improvements to systems or processes.
  • demonstrated experience supporting senior management 
  • experience handling sensitive and confidential information 
  • ability to work autonomously with minimal supervision 
  • strong attention to detail.
