Our Business
One of six divisions in Council, City Administration and Governance plays an important role providing support to the Lord Mayor and Councillors, the Chief Executive Officer and every Council program. In particular, we provide trusted advice to ensure Council’s business is delivered through the provision of effective governance.
Our Branch
Working in the Lord Mayor’s Administration and Engagement Office is an exciting opportunity where no two days will ever be the same. Providing a range of administrative and specialised services, the Lord Mayor’s Administration and Engagement branch comprises of the Correspondence Unit, Protocol and Civic Events, the Executive Support Unit, and the Secretariat for the Lord Mayor’s Charitable Trust. Each area play a critical role in creating and supporting engagement opportunities for the Lord Mayor with the residents of Brisbane. The Executive Support Unit provides high level administrative and operational support to the General Manager, the Branch, the Lord Mayor’s Office, the Lord Mayor’s Charitable Trust and its key stakeholders.
The Role
The Executive Support Officer provides confidential, professional, high quality administrative and operational support to the Lord Mayor’s Administration and Engagement Branch. This is a fast-paced environment where you will be managing complex competing priorities such as our annual grants program, major fundraising events, liaising with external organisations and reporting activities.
This is an incredible opportunity to utilise your skillset in supporting a Council function that directly provides support to the Lord Mayor and the wider Brisbane community.
Key tasks of the Executive Support Officer include:
- providing high level administrative and professional support and assistance to the General Manager, Lord Mayor Administration and Engagement Office
- work in a high pressure, fast paced work environment dealing with a wide range of tasks and projects with the ability to quickly address matters as they arise and translate solutions into simplified, customer focussed outcomes
- providing high quality communication and customer service support to a wide range of internal and external customers in a timely manner
To be successful you will have:
- demonstrated ability and proven experience working in a high pressure fast paced work environment dealing with confidential and sensitive information
- strong governance experience including ability to work with and prepare papers for a board or similar
- strong success in developing and maintaining collaborative relationships, including effective interpersonal and communication skills
- experience in project management and demonstrated experience in delivering competing projects on time
- proven success in achieving competing deadlines while maintaining the highest level of attention to detail and quality
- demonstrated experience in utilising database software with the ability to update and maintain accurate information
