The Berry Street School is a specialist independent secondary school with four campuses located in Ballarat, Morwell, Narre Warren and Shepparton.

The Opportunity

The School Database & Systems Coordinator plays a critical whole‑of‑school role in maintaining the integrity, accuracy and effectiveness of the School’s information systems, particularly the Compass Student Information Management System.

Working closely with school leadership and staff across multiple campuses, this role supports key administrative and compliance functions including enrolments, attendance, timetabling, reporting and government data submissions. You will also build staff capability by providing training, troubleshooting and system improvement support.

This position offers flexible and hybrid working arrangements, with a mix of remote work, the Collins Street office, and occasional travel to school campuses.

Key responsibilities

Reporting to the School Business Manager, you will:

  • Manage and maintain the School Information Management System (Compass), ensuring data accuracy, integrity and compliance
  • Configure system permissions, conduct annual rollovers, and oversee enrolment, attendance and exit data
  • Coordinate and maintain accurate timetabling, calendars and scheduling across campuses
  • Support government and regulatory reporting including Census, STATS, SBD, NCCD and VIT reporting
  • Generate reports and data visualisations to support decision‑making and continuous improvement
  • Provide system support, training and documentation for school staff
  • Liaise with software providers and lead system development and improvement initiatives
  • Contribute to knowledge management practices across Compass, SharePoint and related platforms

About You

You are an organised and proactive individual who brings a calm, supportive presence to a busy school environment.

  • Experience in data management systems, ideally within a school or education setting
  • High‑level computer literacy, particularly Excel and database management
  • Strong analytical, problem‑solving and continuous improvement skills
  • The ability to train and support users one‑on‑one and in group settings
  • Excellent attention to detail, organisation and ability to manage competing priorities
  • Well‑developed interpersonal and communication skills, with the ability to build effective working relationships
  • A strong understanding of confidentiality, discretion and data governance
