The Opportunity

We are thrilled to offer an exciting opportunity for a Project and Refurbishment Coordinator to join our AMA Collision team based in Melbourne.

This is a full-time, permanent hybrid role that may involve some interstate travel. You will have access to growth, stability, and long-term security as part of the larger AMA Group.

As the Project and Refurbishment Coordinator, you will be part of our Facilities and Growth team and responsible for overseeing the management of 70 production sites within the AMA Collision network. Your duties will include managing maintenance, utilities, licensing, and regulatory compliance.

The role's goal is to provide top-tier service to operational leaders and site managers, ensuring a safe, secure, and efficient working environment for all team members, through reactive, preventative, and planned maintenance activities.

Key Responsibilities:

  • Lead by example and foster a positive safety culture.
  • Ensure compliance with AMA’s safety standards and create safe working environments.
  • Stay updated on industry best practices and trends in facilities management.
  • Maintain fire, emergency, security, regulatory, and compliance records across all sites.
  • Collaborate with operational leaders and centre managers to identify and manage facility maintenance and repair needs for fixtures, fittings, and equipment.
  • Ensure that maintenance work is completed on time and according to priorities to ensure smooth daily operations at the repair centres.
  • Participate in on-call support as part of the Business Continuity Plan and respond to unforeseen events, including being a key contact in rapid response situations for failures, downtime, or safety issues.
  • Work closely with external contractors, obtaining quotations from suppliers with relevant expertise and regulatory standards, and managing contractor safety onboarding. You’ll also implement self-service opportunities for sites with preferred suppliers and rate cards.
  • Assist in facility assessments, identifying non-compliance issues and corrective actions.
  • Report on facilities management, including response times, ticket handling, and recurring trends.
  • Maintain records related to fire, emergency, security, and regulatory compliance, including annual certificates, property occupancy certificates, fire safety services, licenses, and equipment registrations.
  • Perform other general administrative duties as needed.

Does This Sound Like You?

  • 3+ years of experience in a Facilities, Engineering, or Building Management role within a commercial environment.
  • Proficiency with Microsoft Office programs (Word, Excel, Outlook) and Microsoft Project.
  • Knowledge of building trades and a practical approach to resolving maintenance issues.
  • Strong organizational skills with the ability to prioritize and manage multiple deadlines.
  • Ability to take ownership of tasks and ensure their successful completion.
  • Clear and concise communication and presentation skills.
  • Attention to detail and high accuracy in work.
