Job Description:

The Sales Ops Enablement Specialist will play a crucial role in optimizing sales operations and ensuring seamless inventory management, focusing on assisting with revenue recognition activities. This role involves close collaboration with sales representatives, sales leadership, customer service, inventory teams and pricing analysts to manage inventory, resolve order issues, and maintain accurate records. The ideal candidate will have strong communication skills, attention to detail, and the ability to work in a fast-paced environment.

Key Responsibilities:

1. RIO (Rep Inventory Owned):

  • Regularly monitor RIO for sales representatives, especially those at critical inventory levels, to prevent overstocking.

2. Inventory Management:

  • Identify Slow-Moving Inventory/Expired Inventory: Collaborate with sales reps to pinpoint slow-moving inventory items.
  • Recommend Returns: Provide actionable recommendations for returning slow-moving/expired inventory to the Distribution Center.
  • Inventory Count: Assist Sales Leadership with count accuracy and timeliness by supporting thru review of outstanding items on PowerBI.
  • Coordinate Returns: Work closely with customer service to obtain Return Merchandise Authorizations (RMA) and generate FedEx labels for shipping.
  • Communication: Reach out to sales reps to discuss inventory issues and coordinate the return process.
  • Documentation: Maintain accurate records of inventory reviews, recommendations, and return processes.

3. Open Orders Management:

  • Identify open orders due to missing Purchase Orders and take necessary actions to resolve them.
  • Obtain Purchase Orders: Reach out to sales reps to obtain contact information at the account and secure the required PO's.
  • Documentation: Maintain accurate records of PO procurement.
  • Reduce Held Orders: Collaborate with Pricing Analysts to reduce held orders by ensuring no pricing issues are holding up the orders.
  • Aging Orders: Work with the Pricing Manager and Pricing Analysts to move these orders to invoice.

4. Late Orders Monitoring:

  • Daily monitoring of late order Power BI reports to identify delayed orders.
  • Investigate Delays: Reach out to sales reps to understand the reasons for late orders and proactively document these reasons.
  • EPIQ (Late Reporting): Build a report around replacements and revisions to monitor if replacements/revisions are being reported in a timely manner.

5. Salesforce Management:

  • Data Cleanup: Clean up data for candidates sitting in the pipeline for over 90 days; monitor the Trial to Perm report and review chatter notes (should be updated every two weeks).
  • Review Duplicates: Review duplicates in the region/area and be the point of contact for sales reps who cannot find a candidate in the system to avoid duplicate creation.
  • Physician Data Cleanup: Ensure all Area Physicians’ data is accurate, eg: email, office address.
  • Entering Sales Orders: Provide supplemental help for entering sales orders, e.g., for vacant territories or during PTO.

Qualifications:

  • Bachelor’s degree in Business, Sales, or a related field.
  • 2+ years of experience in sales operations or a similar role.
  • Proficiency in Salesforce and Power BI.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
